We are currently looking to recruit a full-time Assistant Office Administrator who can provide a professional administrative service to our busy Fort William office. The successful candidate will be organised, proactive and forward thinking, they must be passionate about using an innovative and dynamic approach to maintain the current high standards within the office and be a competent communicator on all levels who finds it easy to build effective relationships.
This role is very varied, and you must react well to change and be flexible when required. Working closely with colleagues within the office and the Fassfern Estate manager, this role requires someone who is proactive and upbeat in their work ethic and who can work on their own using their experience but also have the initiative to provide a strong support to the daily running of the office.
Duties will include: -
• Maintaining the office environment to high standards - identify and resolve issues raised, ensure supplies are kept updated for daily requirements
• Updating and maintaining paper and electronic records using inhouse systems
• Liaise with a variety of different management levels throughout the office and on the Estates to ensure standards are met
• Assist with company reports
• Take on responsibility for different projects within the office
• Other adhoc admin duties as required
• Administration of accounts, property maintenance schedule, holiday house bookings, staff liaison and client communication. Organising tradesmen and dealing with other matters as required.
To be successful in this role, you will have experience in administration ideally in a similar background; you will be competent in the use of Microsoft Office applications, specifically Word, Excel and Outlook and will have strong interpersonal skills. You will be trained in the specific company systems by the current office administrator on site as well as training provided off site. You will be able to demonstrate excellent communication and organisational skills at all levels and will be able to manage and prioritise a varied administrative workload. You will be professional, confident and flexible in your approach to work, able to work to tight deadlines, be self-motivated and must be able to demonstrate exceptional attention to detail. Being commercially aware, decisive and having the ability to grow with role is also key.
